 FREE PAPER PRESENTATION GUIDELINES


Introduction

The congress committees would like to thank you for agreeing to present your abstract at the upcoming 8th Asia Pacific Ophthalmic Trauma Society (APOTS) Meeting at the Anvaya Beach Resort, Bali, Indonesia. This document is to assist you with planning an effective presentation for the APOTS 2024.

 

Registration

All free paper presenters must register and pay the applicable fee by September 14, 2024 to be included in the program. No concessionary registration is available. For more information on registration, please check at https://apots2024bali.org/.

 

Presentation Preparation

Conflict of Interest: On the second slide, declare any conflicts (financial or otherwise) or state “Conflict of Interest: NONE.”

 

Video: Use MP4 (H.264) or WMV formats. Do not use .mov or .3pg formats. Insert videos directly into your PowerPoint to ensure they play correctly.

  • IMPORTANT NOTE: Please INSERT your video into the PowerPoint presentation. Do NOT use ‘link to file’ as the link will become invalid when your PowerPoint file is played on a different computer.

DVDs/CDs: Videos on DVDs/CDs will not work during PowerPoint presentation sessions. Only PowerPoints with video(s) inserted will work well.

 

Fonts: Use fonts supported by Microsoft Office 2010. Embed non-standard fonts for consistent text display across systems.

 

Images: Ensure copyright permission for images. Use high-resolution visuals to prevent quality loss during virtual transmission.

 

Designs: Ensure text is clearly visible by maintaining high contrast between text and background (e.g., white/yellow text on a dark background). Avoid excessive effects or animations.

 

Contents: Present sufficient background for the varied audience, from students to specialists. Focus on clarity and simplicity.

 

Language: Presentations must be in English. If English is not your first language, practice speaking slowly and clearly.

 

Duration: Each presentation is limited to 8 minutes (5 minutes for presentation, 3 minutes for discussion).

 

On the Day of the Meeting

The free paper presentation is scheduled from 08:00 to 09:30 A.M., with the room and judges to be confirmed closer to the event.

 

Upload your PowerPoint 24 hours before your session through the website. Presentations can be reviewed up to 30 minutes before the session starts to ensure compatibility.

 

Audio and Visual Equipment: A TV screen (16:9) will be available, and presenters are encouraged to use the provided PowerPoint template. Standard setup includes a lectern, microphone, laptop, projector, and in some cases, dual or side screens.

 

Delivering Presentation

  • Arrive at the session room at least 15 minutes early and be seated in the front row.
  • Use Presenter View mode to control your PowerPoint. During presentation, stay within your allocated time, as any overtime will reduce the next speaker's time and affect scoring.

 

For Macbook Users

  • Convert .mov files to .wmv or .mpg formats.
  • Test videos prior to the event.
  • If you must present with your own MacBook, ensure you bring a VGA adaptor.
